We Love our PAck Coordinators

Thank you for helping your pack attend this year’s Cub Scout Summer Day Camp. Your help plays a vital role in the success of our camp.  We have compiled this information to help ensure your packs road to day camp is as smooth as possible. As a Day Camp Coordinator, you are in the unique position to enhance the experience for our Scouts as well as accomplish inner satisfaction for yourself.  Each one of us will be playing an important role in the life of the Cub Scouts who attend Cub Day Camp this summer. Teamwork makes the dreamwork!

Quick Start Guide

​

  1. Communicate, Communicate, Communicate – Get the dates and deadlines out as soon as possible and begin asking for parent volunteers.  Remember to give parents plenty of time to get trained and make arrangements. Don’t keep the information to yourself. 

  2. Application/Medical Forms – Make sure families understand how to complete them and the importance of dates for the tetanus immunizations and the copy of the insurance card.  Start collecting copies of the forms as soon as possible and be familiar with exemption waivers if needed.

  3. Training – Scouts BSA works hard to ensure all adults are trained in Youth Protection Policies and Hazardous Weather. Den chiefs need den chief training.

  4. Don’t Be Late – There is a late fee of $25 per camper that is registered late. Pass this information along to your parents to help motivate them to complete their forms as soon as possible.

  5. Stay Organized - We recommend a 2-inch binder with tabs. As you probably know anytime you ask for something you will get it in parts and pieces or not at all.  Having everything kept in a binder by name will help keep everything you need together and accessible.

Job Description

​

  • Promote Day Camp in their Pack

  • Answer questions from interested parents

  • Contact point for Pack and Day Camp Staff

  • Ensure Pack Registration, Pack forms / Collection of Fees

  • Ensure Adult Registration and Schedule of Volunteers

  • Ensure that the Pack meets the Camp Volunteer Quotas

Day Camp Promotion

Get the word out about Day Camp. The sooner the parents can start the paperwork process the better. 

Put the dates in Pack Calendars, Newsletters and social Media Posts.

Invite experienced scouts to speak at pack meetings and out their experiences at Day Camp.

Direct parents to our website so they can learn more about it.

Hold a Day Camp Sign up event when the pack can turn in all the paperwork together and pay fees.

What To Know About Volunteers

Day camp is run entirely by volunteers supplied by the packs. For every one adult that registers for one day of camp - a pack can send 4 scouts for one day of camp. This means that if you take the total number of scouts attending day camp and divide by 4 you will have the minimum number of ADULTS needed per day. Den Chiefs/Youth Staff do not count as an adult and cannot be used as a substitute. Tiger Parents must be present for their Tigers to attend camp.

DON'T PANIC!

Adult Volunteers have many options to choose from when deciding how to volunteer. NOTE: Youth Protection training is a requirement for all Volunteers.

 

Time Sharing is a great way to promote volunteering at camp. Adults can split the week up and donate a day or two instead of a whole week.  Just as long as the daily scout attendance is covered by the daily adult volunteers every one can expect to have fun at camp. Full week volunteers will receive a $20 rebate.

Childcare Available - Day Camp provides onsite child care for adults who want to volunteer but may have other siblings to consider.  Childcare is $5 per day or $20 dollars and for full week volunteers and this is refunded at the end of the week.

WHAT DO VOLUNTEERS DO?

We have many different positions for volunteers are are usually able to suitably match them with their requested areas.

 

  • Den Walkers/Asst.  - Take a small den and walk them through a scheduled day of activities. (Most Popular to spend the day with your own scout.)

  • Station Workers - We have many different types of stations that need adult supervision. The stations have usually been planned out with instructions provided.  In some cases volunteers will need to have specific training to run the station.  If they assist at station then non training is necessary.

  • Health Lodge - Assist our health officer in maintaining 2 deep leadership and assisting visitors and administration.

  • Clean Team - Work with the quartermasters to help clean and disinfect stations between groups and activities.

  • Floater - Always keeps the day interesting because you get the rare experience of seeing Day Camp from many different areas.

BSA Health and Medical Forms

All Scouts, siblings (participating and non-participating), and adults will need to complete and submit a BSA Health & Medical Record parts A & B. Forms will be returned at the end of the day camp. Forms not picked up will be destroyed.

Cub Scout Day Camp and the Coronavirus

The COVID-19 Pandemic and the current stay-at-home restrictions have made life very different for at least the foreseeable future.  We understand that you and your families are working through various challenges and decisions, as are we all.  The health and welfare of our Cub Scouts and their families, our Volunteers and Staff are our top priority.

Adult Training

All adults will need to present proof of completion of BSA youth protection training  and hazardous weather as well as any credentials for specialized program areas.  Training opportunities for specialized areas are available periodically throughout the year and just before camp.  All basic required courses can be found online and are self paced. Please visit our training page for instructions to direct adults to training.

Den Chiefs
Den Chiefs are troop-aged staff who work as volunteers to assist stations and den leaders with daily activities. They serve as role models to the younger scouts and are expected to behave as such. They must have completed den chief training and supply a certificate with their application and be prepared to take the Youth on Youth Protection Training at camp orientation. Den Chiefs report to a Scoutmaster while at camp and receive a confirmation letter for the service hours they serve while at camp. Scouts must be approved by their home unit scoutmaster to apply.

 

Den Chief applying for camp must be 13 years of age unless a parent is volunteering at camp. Den Chiefs do not take the place of adult volunteers.

Still Need Help?
We will host a walk through of the computer registration process and be available for questions in our Virtual Conference call. You will receive information directly emailed to your pack for this event. 


Once you register your scouts and volunteers with the camp, they will receive their welcome letter and camp information. They will also be added to our email communications and be able to get more direct information.  They must be paid and have a completed information packet to begin receiving any camp information.
